Near real-time, local-level data is often scattered across many districts and systems. Without the ability to efficiently consolidate, organize, report, and manage access to this data, ESA data services are limited to providing insights based on public or state reporting data, which is far less actionable and significantly limits the impact and value of ESA analytics.
Most companies either offer an extremely flexible BI tool with very little support, leaving you to find a partner you can trust to implement but who often isn’t around for the long haul. Or they offer a well-supported but rigid out-of-the-box solution that is difficult to build on to meet an ESA’s wide range of needs. ESAs need the best of both worlds from the ideal partner.
There is a growing need to replace legacy platforms, address the rising costs of tools like Tableau and Power BI, and manage the complexity of maintaining robust implementations. Managing analytics infrastructure, integrating it with key systems such as IAM, and paying additional licensing or usage-based fees is expensive. As a result, there is a strong need for more cost-effective, managed solutions.
Demand is increasing for generative and agentic AI to improve accessibility, speed to insight, and the ability to act on data for non-technical, time-constrained district staff. However, AI can be complex, inconsistent with non-deterministic output, costly if implemented as a point solution, or insecure when data is shared. ESAs need a platform-based approach and a partner who understands these challenges and can help navigate them.
NERIC, the Northeast Regional Information Center, provides technology and data services to school districts across New York State. In partnership with Mindex, NERIC helped districts in Schoharie County and beyond share available course seats across multiple Student Information Systems. By creating a regionalized data product in Advanced Analytics, counselors can quickly identify open classes that fit student schedules and connect with the right contacts. The solution has reduced the time needed to locate available seats by up to five times and is now being expanded to additional counties and BOCES statewide.
ES BOCES provides shared educational services and technology support to school districts across multiple counties in New York State. In partnership with Mindex, ES BOCES modernized their legacy BOCES Assessment Reporting System (BARS), replacing a suite of Crystal Reports with an interactive, cost-effective Advanced Analytics solution for NYS Assessments and Regents Exams.
The new system integrates seven years of historical data down to the item-response level, supports regular updates from raw NYS L1 DW data, and allows districts to incorporate 3rd-party and SIS data. Mindex helped integrate ES BOCES’ on-premises data warehouse into an Advanced Analytics data lake, trained the ES BOCES Staff Development team to create dashboards, and provided distinct Advanced Analytics sites serving 250,000 students across 70 districts.
The modernized BARS now provides districts with customizable, interactive reporting and the ability to extend capabilities using AI features.
SCRIC (South Central Regional Information Center) supports 49 districts serving more than 47,000 students across New York State. When third-party grant funding ended, SCRIC needed a low-cost solution to help districts continue collecting and analyzing DIBELS data—within just three months.
In partnership with Mindex, SCRIC created a custom User Defined Assessment and deployed it to participating districts, providing an intuitive interface for data collection. Mindex then developed ETL pipelines to make the data available in Advanced Analytics and built interactive dashboards to bring actionable insights to educators.
Today, seven districts use the solution to collect and analyze DIBELS data cost-effectively, ensuring the continuation of vital work that began with pandemic learning loss grants. The dashboards are fully scalable, enabling expansion to all SCRIC districts across the region.
School administrators can use interactive dashboards and Generative AI to gain insights, enhance student outcomes, and improve systems. They can visualize, filter, and customize data, connect with third-party sources, detect anomalies, generate charts by asking questions, and create summaries.
MTSS Edge™ helps identify struggling learners, assess their unique learning needs, and tailor support. Districts can track all student universal screenings, goals, progress monitoring, interventions, meetings, parent notifications, generate letters/student plans, and run reports.
ClearTrack™ helps districts manage Individualized Education Programs (IEPs) and enables educators to track and monitor student progress. It also makes it easy for districts to manage New York State Data Warehouse reporting, Medicaid claims, as well as BOCES integration and collaboration on student IEPs.
Built to meet the unique needs of New York State school districts, SchoolTool incorporates data-driven, intuitive, and time-saving features for configuring and managing student data. Built from the ground up, the Mindex team is involved in the full lifecycle of this product, including sales, training, support, and maintenance.
