As the platform evolved, managing and navigating diverse document types became increasingly complex. Traditional keyword-based search often required users to manually search through multiple documents to locate relevant information, limiting efficiency and usability.

The Opportunity: Improving Search Across Complex Document Environments 

Xerox needed a more intuitive and scalable way to help users work with unstructured, multilingual documents while improving the overall search experience.

The Approach: Building an AI-Enabled Search Experience 

Xerox partnered with Mindex as its cloud services provider to design and build a document intelligence solution on AWS. Instead of relying solely on keywords or file names, the new search experience enables users to ask natural language questions such as:

“How is customer data handled and protected?”

The platform retrieves relevant documents and surfaces responses based on document content, helping users find information faster and more efficiently without manually searching through multiple files.

AI-Powered Search Architecture

Mindex implemented a scalable cloud architecture designed for intelligent document processing and semantic retrieval. The solution leveraged AWS Textract for OCR and document processing capabilities, along with a pgvector-backed database hosted in AWS to support semantic search and retrieval. Azure AI Foundry was integrated for the vector embedding creation and summarization, allowing Xerox to continue leveraging existing infrastructure while accelerating development.

Advanced Document Intelligence Capabilities

Additional capabilities include automated document extraction, translation, summarization, and categorization workflows that help reduce manual effort and improve consistency across document processes.

The platform also supports multilingual document analysis, secure and auditable access controls, and scalable infrastructure designed to support growing document volumes and evolving AI use cases over time.
